Web Payment Issue During Month End

Cause

Customer created a web payment online while the RMA system was in Single User Mode for the Close Period process. This has caused the payment to show as "not in current period" when trying to post payments.

Resolution

The payment will need to have the date updated to a date within the current period. You will not be able to back-date the payment for the prior period and post. 

This process can only be done by a technician, so you will need to contact Support at support@advantagers.com.

Preventative Measures

To prevent this issue from reccuring, it is highly recommended that you use the following process to auto update the date for any payments made during/after a specific cut off time for the current date to the following date. 

  1. Confirm the time that the Period Close process will take place each month. 
    1. i.e. At 5 PM on the Last Day of every month.
  2. Go to Modules>Mango Web>Mango Web Settings>Info Tab.
  3. Locate the "Current Date Payment Cutoff Time" field.
  4. Set the time that you plan to run the Period Close process. 
    1. i.e. You will find that this system is set to 5 PM. 

Note: This time field is set to military time. Just enter the time without the colon and it will auto input the colon. 

  1. Save the changes. 

This modification will now make sure that any payments made after the set time will auto update the date to the following day so that the payment can be posted.

Note: Please be aware that if you are closing the period early rather than on the last day of the month, there is a chance the invoice date will be pushed to the next day which will still reflect for the period that was closed. You will need to contact support for a technician to correct it.
