QB Desktop to QB Online Conversion V8
Overview
When using Quickbooks accounting software you may find that you are wanting to switch from their Desktop version to the Online version. This process is compatible with RMA however, it does require some data conversion to successfully convert to QB online.
The following article will go over the details you need to know in order to properly convert Quickbooks from desktop to online.
Process
Before beginning the conversion process you will need to get detailed information on the following items below:
- You will need to choose your QB Desktop to QB Online cutover date and inform ARS of what that date is. It is preferred to schedule a weekday for this process so that a Technician can touch base after the conversion to confirm everything is functioning properly with the ARS software.
- ARS will need access to your PC or Server with the Administrator log in information for QB Desktop & QB Online.
- ARS will need to connect to your server/PC and update your current RMA and the Data Sync files to the latest build. Install an “empty” RMA and sync your QuickBooks Online so we can get the files created we need for the conversion.
The afternoon of the conversion process please complete what I have noted below:
- Upload all routes, post all payments and invoices, sync them all to QB Desktop one last time and do not download new routes for next business day yet.
- Your conversion team can do the QB Desktop to QB Online conversion/update with Intuit or 3rd party and let us know once it is done. DO NOT enter any info into your new QB Online yet until we are done with your conversion process with RMA.
At this point ARS will need exclusive access to your RMA and both QuickBooks – make sure your team does not log in or add any further or new data in either program.
- ARS will connect to your PC/Server and complete the data conversion from QB Desktop to QB Online and set your Sync to now Sync to online version. This can take 1-2 hours.
- Please plan on not posting and running the sync for at least 1 day while we finish the programming items we need to finish and reconnect the sync using your new credentials for the Online version.
- We will let you know when you are good to post and sync in the new system.
- This will take approx. 4-6 hours of Data Conversion time as well as a small amount from your TS hours block.
This plan should not affect you in any way other than not being able to post and sync for a day.
- Should you choose to leave your QB Online Empty and let us reverse sync your RMA data into QB Online vs having a conversion done from QB to QBO from Intuit or a 3rd party, the process is virtually similar in hours, but varies a bit in steps. For Step 3 we would eliminate. For Step 6 we would run the reverse sync process.
