Going Paperless in your Office

Introduction


This article will help guide you through the process of going paperless in your office and will allow you to store PDF copies of all of the information generated from RMA. 

PDF Printer Setup


Before beginning the RMA setup of paperless options, you must first make sure you have a PDF printer installed on your computer. If you do not have one installed already, we recommend the FOXIT PDF Printer.

Posting


One of the first items you can setup paperless is your Posting Reports. Posting reports will print at the end of each posting. Many users like to either email posting reports (PDF) and/or turn off the printing of posting reports. Do note, if you disable these from printing, there is not a way to reprint posting reports at a later time.

Navigate to File > Branch Setup > Logging tab. In the highlighted box below, you can enter one or several recipients. Just be sure to only enter one email address per line. When finished, press the save icon. As soon as you post your next batch of invoices, you will receive an emailed copy of the posting report.

To disable the printing of posting reports. Navigate to File > Branch Setup > AR / GL 2 tab. Select the option for "Don't Print Posting Reports".

 

Statements


Instead of paper statements, ask your customers to sign up for E-Mail Statements. These can be sent in multiple formats to your customers. Each statement includes all of the customer’s invoice and payment activity for the current period, and can include invoice copies if desired.

If you do not have an Email Statement Code setup already, go to Lists > Customer Setup Codes > Statement Codes to set one up as below.  If you are using the Mango Web module, select the option for Web 'Paperless' Code so a customer can sign up for paperless through your website!

Afternoon Reports


Within Route Manager, you have the option  to stop printing and either save them as a PDF or email the Afternoon Reports to a specific person(s).

To configure these options, follow the steps found in Emailing or PDF Printing Afternoon Reports.

Mango File


The Mango File package is a sophisticated electronic document storage system that can integrate with Route Manager or be used as a stand-alone system. One component of the system allows you to scan/upload documents into your PC and the other allows you to retrieve the documents at a later time. With Mango File, it allows you to View, Fax, Print, and email saved documents to a customer!

You can retrieve the documents by date, type, and account number or by an optional description. The system is simple-to-use in both the scanning and retrieval modes.
