PAR Report

The Customer Location PAR Report helps you monitor inventory levels at customer locations based on defined PAR (Periodic Automatic Replenishment) levels. Use this report to identify replenishment needs, spot inactive customers, detect missed deliveries, and support route planning and load generation.

Report Views

The PAR Report offers two ways to view your data:

Route-Based View

Organizes data by delivery route, then by customer stop, then by item. Includes a route-level summary showing total stops, total items, items below PAR, stock outs, and missing inventory data.

Customer-Based View

Organizes data by customer, then by location, then by item. Ideal for reviewing a specific customer's inventory status across all their locations.

To switch views, select the desired option from the report scope selector at the top of the report.


Filters

Use the filter panel to narrow your report results:

Show only customers on a specific delivery route

Customer Account

Filter to a specific customer

Customer Type

Show only customers of a particular type

Route Date Range

Limit results to a specific date range

Inactive Only

Show only customers with no recent transaction activity

Filters can be combined — for example, you can filter by Route and Customer Type simultaneously. Use Clear All to reset filters and return to the full dataset.

The delivery route the customer belongs to

Stop / Customer Location

The customer's physical delivery location

Customer Account

The customer's account identifier

Item Code

Product code for the inventory item

Item Description

Name/description of the item

PAR Level

The target inventory quantity for that item at that location

On Hand

Current (or last known) quantity on-site

Suggested Delivery

Recommended delivery quantity to reach PAR level

Last Transaction Date

Date of the most recent invoice for that customer/item

Transaction Status

Visual Indicators for: visually indicate:

    • Recent (0–7 days)
    • Moderate (8–30 days)
    • Stale (30+ days)

Understanding the Data

Suggested Delivery Calculation

The system calculates suggested delivery as:

Suggested Delivery = PAR Level − On Hand

For example, if PAR Level is 50 and On Hand is 12, the Suggested Delivery will be 38.

Last Transaction Date

This reflects the most recent invoice date for the customer or stop-item. If a customer has no transaction history, the column will display "No Activity".

Status Indicators

    • Below PAR — On Hand quantity is less than the PAR Level but greater than zero
    • Stock Out — On Hand is zero; the full PAR Level quantity is needed
    • Ok – PAR=On Hand

Aging Indicators

The report visually indicates how recent customer activity is based on the Last Transaction Date:

These aging indicators help you quickly identify customers who may have been missed on recent routes.


Route-Based View Summary

When using the Route-Based View, a summary section displays key metrics for the route:

Count of items with zero On Hand

Items where On Hand data is unavailable


Common Use Cases

Preparing a delivery load:
Run the Route-Based View for your route to see all suggested delivery quantities at a glance. Use the summary to quickly assess the overall replenishment need.

Identifying inactive customers:
Enable the Inactive Only filter to surface customers with no recent invoices. Review the aging indicators to prioritize follow-up — customers marked Stale (30+ days) may indicate missed deliveries or service issues.

Reviewing a specific customer's inventory:
Switch to Customer-Based View and filter by Customer Account to see all locations and items for that customer in one place.

Monitoring route health:
Use the route summary metrics to compare routes. A high number of Stock Outs or Items Below PAR on a route may indicate the route needs more frequent service.

Tips

    • Use the Inactive Only filter regularly to catch customers who may have been overlooked on recent routes.
    • A "No Activity" entry in the Last Transaction Date column means the customer has never been invoiced — this may indicate a new account or a data entry gap.
    • The Suggested Delivery quantity assumes the goal is to bring inventory exactly to PAR Level. Adjust your actual load as needed based on vehicle capacity or delivery schedules.
    • Pay attention to Stale aging indicators — these customers haven't been serviced in over 30 days and may need immediate attention.
